Red Round Stamp Replaced By PostalOne! Verification Statement
Every dealer knows that the best way to ensure your direct mail provider sends the right number of pieces is to request postal docs. But did you know that effective March 15, 2010, the Unties States Postal Service (USPS) discontinued the process of placing the red round stamp on hard copy postage stamps presented at postal facilities equipped with PostalOne!?
For many, the round stamp is the definitive “proof of mailing”, used to provide mail owners, auditors, accounting departments, etc. with the proof that the mail was accepted by the USPS and the date the mail was entered into the mailstream. Now that this red round stamp will be going away, what will you see as proof of mailing?
On behalf of each client, G&A Marketing will access the documentation for their mailings through the Business Customer Gateway. This will give G&A access to a receipt file that contains details about their mailing, which will be forwarded on to our clients. Dealers who receive these new postal receipts should look for a sentence at the bottom confirming verification. This sentence will state, “This postage statement was verified and accepted under the PostalOne! program. No postal signature or round stamp is required;” and will serve as the new ‘proof of mailing’ in lieu of the discontinued red stamp.

PostalOne! Is an important USPS program that benefits mailers, ‘mail owners’ and the US Postal Service. Mailers who use Mail.dat files to document their mailings can use them to do electronic postage payment and electronic acceptance and verification. The USPS can use that data to schedule their transportation, do business analysis and drive a number of internal applications designed to save the USPS money. Mail owners can view information about their mailings on the PostalOne! web site and download electronic ‘receipt files’ that contain postage information that can be used to do postage accounting and CAPS reconciliation.
On the PostalOne! dashboard, mailers can access a receipt file that contains details about their mailing. Mailers can also view the finalized postage statements on PostalOne!. (Note: the statements on PostalOne! do not follow the format of the actual postage statement forms, so it may be difficult to fully understand the information the first time you see it.)
